Configuring Outlook 2007 for Mobile Computers

This document contains detailed information on how to add a new email account, for a mobile desktop computer, using Microsoft Outlook 2007.

Your User ID and Password

You will receive a note from your employer or a separate email through your alternate email address. It will contain your new email address, User ID and Password. Please keep the information handy as you will need it, along with the information below, to access your new account.

This page provides Microsoft Outlook 2007 screen-shots for configuration of an email account on a mobile computer.

Setting up a new account

To begin, enter the E-Mail Accounts edit function in Microsoft Outlook. In Outlook 2007, this option is called Account Settings and can be found in the Tools menu.

Choose to Add a New E-Mail account and Click on the Next button.

Note that if you try to edit an existing account, it may contain some options that were previously set to incorrect values.

Enter the basic information for this account:

Enter your Real Name, your Email Address and your Password (twice.)

Note that Outlook 2007 will try to guess your User ID from your email address if you let it - so you need to check the Manual Configuration option at the bottom of the dialog box.

Click Next to continue.

Outlook is now asking for the type of account you are creating.

The vast majority of BNT Solutions customers will be using POP3-type mail service. However, some customers may have made arrangements to use IMAP or Exchange. In such cases you will have been told which service to use in the configuration document that you received when you ordered your account.

If you are not sure you should select Internet Email as the type of your mail service.

Click on the Next button to continue.

This form allows you to enter the basic information that will be used to configure your email account.

Enter the information that you received from BNT Solutions when you ordered your email account:

  • Verify your Real Name (your First and Family names, ie: John Smith) in the field labeled Your Name.
  • Your email address,
  • Your Account Type (usually POP3,)
  • Enter the name of your incoming mail server (usually mail2.bnt.ca)
  • Enter the name of your outgoing authenticated mail server (usually mail2.bnt.ca)
  • Enter your BNT Solutions User ID, ie: jsmith, where the User Name is requested under Logon Information.
  • Enter your password

Click on the More Settings button to continue:

The General Tab of the Internet Email Settings dialog contains general information. You do not need to set the Organization Name or the Reply-To address.

Click on the Outgoing Server tab to continue:

As a security precaution, Road Warriors will need to authenticate themselves when sending email. This helps to reduce the volume of Spam on the internet.

On this tab you should ensure that Authentication is turned on and that the settings used (User ID and Password) are the same as for the incoming mail server.

Click on the Connection tab to continue:

The default settings for the Connection tab will use the normally available network connection for email access. This setting is appropriate for the vast majority of users.

(Your network administrator will inform you if you need special settings to establish a connection to the internet.)

Click on the Advanced Tab to continue:

The Advanced Tab is where you can tell Outlook 2003 that you will be using SSL encrypted protocols to send and receive your email.

For the Incoming Server (POP3): Check the box for "This Server Requires an Encrypted Connection (SSL)"

Verify that the port number is changed to 995.

For the Outgoing Server (SMTP): Where it says "Use the following type of encrypted connection," set the type to SSL.

You must manually enter the port number: Change it to 465.

The other options normally do not need to be adjusted.

Click on the Okay button to close this Dialog Box.

At this point your account should be configured properly.

Click on the Test Account Settings button to automatically send a test email.

Next, the test function will execute and display the result of each step in the process. In most cases you will see green check-marks beside each step in the process - showing that everything is working fine.

The results of the test should look like the image here.

If you see red x marks where a green check-mark is expected - Don't Worry! It can be corrected very easily.

Usually when a customer contacts BNT Solutions for help with the configuration of an email account, the problem turns out to be the that the customer wrote incorrect information into one of the name fields (such as putting your Real Name into a field that requires a User ID.) Some customers have also typed BNT Solutions into fields that need the mail servers' host name (ie: mail2.bnt.ca.) Such mistakes are to be expected from people who are not accustomed to working with Host Names and User ID's - it's understandable that what seems to be meaningless information will get confused.

Go back and review the steps outlined in this document. Verify each step in the configuration process to ensure that the correct information is written in the appropriate fields. Correct any errors you find and, when you are done, try the test again.

Click the Finish button to save your work.

Your new Email account is now configured!

Click the Close button to continue:

At this point it's a good idea to click the Send and Receive button in the toolbar to verify that you can download your email.

This dialog box will appear on the screen while Outlook downloads the Test Message that was previously sent.

The test message should then arrive in the Inbox and, when you click on it, you should be able to read the text of the message.

At this point it's a good idea to send at least one email to yourself. This step is important as it allows you to see what information your email software is configured to send. You may want to take the time to configure a signature block and other options.

Click on the New button in the Outlook Toolbar.

To send yourself a message:

  • Enter your email address in the To: box.
  • Enter the word TEST in the Subject: box.
  • Enter the word TEST again in the main text box.

Finally, click the Send button to send the email. Depending on the configuration of your Outlook software, the message might actually be sent or it might just be moved from the Drafts folder to the Outbox.

You might have to click the Send and Receive button in your toolbar - or you can just click on it anyway as it doesn't hurt to do so.

Your test message should appear in your inbox and, when you click on it, you should be able to read it.

If something goes wrong: Go back and review the steps outlined in this document. Verify each step in the configuration process to ensure that the correct information is written in the appropriate fields. Correct any errors you find and, when you are done, try the tests again.

In the vast majority of cases there is no problem configuring an email account and any problem will turn-out to be the result of an error in the configuration somewhere.
